Building a Preventive Maintenance Schedule That Actually Works

Reactive maintenance — fixing a vehicle after it breaks down — is the most expensive way to run a fleet. It costs more in parts, more in downtime, and it puts a vehicle back on the road that may not be safe.

A preventive schedule doesn’t need to be complicated to work. Start with manufacturer service intervals as your baseline, then layer in usage-based triggers: mileage since last service, engine hours, or route intensity for vehicles running high-frequency shuttle routes. Track every service against the vehicle’s record, not a separate spreadsheet, so the history travels with the vehicle even as drivers and routes change.

The goal isn’t to eliminate every breakdown — that’s not realistic. It’s to catch the failures that are predictable, so the ones that aren’t are the only surprises left.
